Assets: How to Set Up Compliance Tracking

Learn how to turn on compliance tracking for an asset in Basementgrid, so its certificate expiry date is tracked and updated automatically when a compliance work order is completed.

What is Asset Compliance Tracking?

Some assets need a valid certificate to stay compliant, such as a lift, a fire alarm panel or a water tank. Compliance tracking lets you record which certificate an asset needs and when it expires, so you know what is coming due.

Once it is set up, you don't have to update the expiry date by hand. When a compliance work order linked to the asset is completed, Basementgrid updates the certificate for you.

How to turn on compliance tracking

Before you start, make sure the asset has been created. See Assets: How to Add and Set Up an Asset

  1. Open the asset and tap Edit asset.
  2. Switch on Asset requires compliance tracking.
  3. Choose the certificate that applies to this asset.
  4. Save.

The certificate's expiry date is filled in automatically when you choose the certificate.

Changing the expiry date

If the auto-filled expiry date is wrong, or the certificate has been renewed, go to Log Certificate Renewal on the asset and enter the new details there.

Compliance work orders update the asset for you

Once compliance tracking is on, any compliance work order linked to this asset will update the asset's certificate automatically when the work order is completed.

So the usual flow is:

  1. Set up compliance tracking on the asset once.
  2. Raise a compliance work order against the asset when the certificate is due.
  3. When the work order is completed, the asset's certificate is updated. There is nothing more to do.

Tips

  • Turn on compliance tracking when you first set up the asset, while you still have the certificate to hand.
  • Always link compliance work orders to the right asset. If the work order isn't linked, the asset won't be updated.
  • If a certificate was renewed outside Basementgrid, use Log Certificate Renewal so the record stays accurate.
