As a Collaborator or Supervisor, you play a pivotal role in moving issues from reported problems to completed solutions. Once a request has been converted into a formal Work Order, the next step is to assign it to the right person or team.
Step 1: Access the Work Order
First, navigate to the "Work Orders" section of your Basementgrid home page. Here you will see a list of all work order views. Tap a view to see the work orders within it. Then, tap the specific work order you need to assign.
Step 2: Locate the Assignment Field
Within the detailed view of the work order, look for the "Assigned To" or "Unassigned" field.

Step 3: Choose Your Assignee and Vendor
-
For In-House Team Members: A dropdown menu or search bar will appear, displaying a list of your registered internal team members. Simply select the name of the individual you want to assign the work order to.
-
For External Vendors: If the job requires an external contractor, you will also find a list of pre-registered vendors. Select the appropriate vendor from this list. If a vendor is not yet listed, please consult on how to add new vendors to the system.

Step 4: Confirm
After selecting the assignee, the selected team member or vendor will be notified of their new assignment, often via in-app notification and/or email (depending on their notification settings).
Best Practices for Effective Assignment:
-
Consider Expertise: Assign tasks based on the skill set and experience required for the job.
-
Check Availability: Be mindful of team members' current workload and availability to prevent bottlenecks.
-
Add Comments: Use the "Comments" section within the work order to provide any additional instructions, context, or safety notes relevant to the assignee.
-
Monitor Progress: After assigning, regularly check the work order status and communicate with the assignee to track progress and address any challenges.
By mastering work order assignment, you contribute directly to the efficiency and responsiveness of your property's maintenance operations on Basementgrid.
