Enforce quality control and statutory compliance by attaching custom inspection forms directly to your Work Order workflows. When a form is assigned to a workflow stage, Basementgrid prompts or requires field technicians to complete specific checklists (e.g., safety checks, completion sign-offs) before transitioning a job to the next status.

Key Benefits

  • Enforce On-Site Compliance: Prevent technicians from closing Work Orders without completing mandatory site checks or attaching photo evidence.

  • Automate Quality Audits: Automatically trigger specific inspection forms based on the type of work (e.g., HVAC maintenance vs. electrical repair).

  • Eliminate Missing Data: Ensure all field inputs, signatures, and condition reports are captured at the exact right step in the service cycle.

Prerequisites

  • Role Required: Workspace Admin or Operations Manager

  • Prerequisites: At least one published form template (see How to Create a New Form).

Step-by-Step Guide

Once you've created your form, it's simple to assign it to a message or work order.

  1. Create a Work Order Draft

Start a new task

Navigate to Work Orders in your Basementgrid dashboard and click + Create Work Order. Fill in the basic details (Title, Priority, Location, Asset) to generate your initial draft.

  1. Open Draft & Edit Procedure

Access your saved draft Work Order. Click on the Procedure or Work Details section to edit the job instructions and execution requirements.

  1. Add Customized Form

Under the Procedure section, click + Add Form. Select your pre-built custom form template from the dropdown menu (e.g., Site Safety Checklist or Equipment Inspection Form).

  1. Add Customized Form

Select the Assignee field. Assign the Work Order to your Internal Technician / Team or enter the manager's email to issue it to an external Vendor. Click Issue Work Order to dispatch the task along with the attached form.

Best Practices

  • Form Preview: Double-check form field rules (such as mandatory photo fields) during the draft phase to ensure your assigned team has everything required to complete the job.

  • Combine with Verified Capture: Use forms alongside Verified Capture to ensure all photo evidence uploaded by technicians includes verified GPS and timestamps.

For more complex needs, you can even add multiple forms to a single workflow. This feature is available for Pro Plan workspaces.
