It is the chronological record of every action, update, and discussion related to a Work Order in Basementgrid. It is your essential tool for collaboration, accountability, and seamless hand-offs.

1. Where to Find the Activity Log

The Activity Log is located at the bottom of every detailed Work Order screen.

  • Location: Scroll to the bottom of any open Work Order.

  • Chronology: Entries are displayed in reverse-chronological order, meaning the latest activity is always at the bottom for quick viewing, just like a modern chat thread.

2. Core Functions: Collaboration & Documentation

The Activity Log combines your team's direct input with automated system tracking to create a complete history of the job.

Type of Entry Description User Benefit
User Comments Direct text entries, notes, questions, and replies added by any user who has access to the Work Order. Contextual Communication: Eliminates confusion and the need for separate text messages or emails.
Media Attachments Photos and videos added directly from a mobile device or uploaded from a desktop. Proof of Work & Fast Diagnosis: Technicians can instantly document "before," "during," and "after" job status, speeding up managerial sign-offs.
System Audit Records Automatic, time-stamped entries that log every change made to the Work Order's official fields. Total Accountability: Clearly shows who did what and when. Includes changes to: Status, Priority, Assigned Technician, Due Date, and Resource Usage.

3. Why the Log is Critical for Your Business

The Activity Log is vital for maintaining a competitive edge:

  • Auditability and Compliance: Every completed job has a fully documented, uneditable history, making it easy to prove compliance, quality standards, or service agreements to clients or auditors. This is key to building trust.

  • Faster Field Handovers: A new team member or shift supervisor can review the log quickly, getting the complete, accurate history of the job in minutes, ensuring the work continues without interruption or repeating previous steps.

  • Training & Process Improvement: Reviewing old logs helps you see where delays occurred, providing the data needed to standardize your workflows and automate future processes. This drives the enterprise-level efficiency that allows you to compete with big companies.

  • Seamless Collaboration: When collaborating with other companies, sharing the Work Order ensures both parties are using the same, transparent activity stream, preventing disputes and keeping complex projects aligned.
