Basementgrid notifications keep your team aligned and ensure no critical updates are missed, driving the streamlined communication necessary for your SME to compete effectively. Notifications are customized based on user roles, access permissions, and the specific action taken on an item.

All notifications are delivered via two channels: In-App (the notification icon within the BasementGrid application) and/or Email.

1. Work Order Notifications

These notifications ensure accountability and provide an instant alert for key events, allowing for swift management of tasks.

Scenario (Action Taken) Recipients Notification Delivery Purpose & Benefit
Work Order is Assigned The Assignee only (the user whose name is added to the Work Order). In-App & Email Alerts the responsible technician/user that a new task has been assigned.
Status is Updated All users who have accessed the specific Work Order. In-App & Email Keeps the full team (managers, dispatchers, and others) informed of job progress.
User is Mentioned in a Comment The Mentioned User only (e.g., when a user types @John Doe). In-App & Email Directs a specific question or request to the right person.
A Form is Submitted All users who have accessed the specific Work Order. In-App Only Alerts the team that new data (e.g., an inspection checklist or site assessment form) has been added to the job file.
Work Order Becomes Overdue The Assignee and the Reporter. Email Only (Sent Weekly on Friday) Provides a consistent, weekly reminder of all overdue jobs, prompting action before the weekend.

2. Messaging Notifications

These notifications manage internal communication and the process of formalizing requests into actionable work.

Scenario (Action Taken) Recipients Notification Delivery Purpose & Benefit
Admin Sends Announcement The message recipient(s) (e.g., all users, or a specific department/team). In-App Only Delivers important, real-time announcements directly within the application interface.
User Sends Work Request Message Every Admin in the workspace. In-App Only Alerts management to a new inbound request that requires review and conversion into a formal Work Order.
Message is Converted to a Work Order Everyone in the original message conversation. In-App & Email Confirms that the request has been formalized and is officially entering the maintenance workflow, keeping all original participants informed.
User is Mentioned in Comments The Mentioned User only (e.g., when a user types @Jane Smith in the announcement thread). In-App Only Directs a specific follow-up question or discussion point to the relevant user in a busy announcement feed.
